  • Overview

    The Retail Operations Systems Administrator reports to the Senior Manager, Retail Operations and is a key member of Peet’s Operations team. The Retail Operations Systems Administrator is responsible for ensuring that all coffeebar systems and procedures are in place and working effectively. They are also responsible for partnering cross functionally to orchestrate and maintain menu item, ingredient and vendor set up within coffeebar POS and back office systems.  In addition, they will partner with HR to maintain labor law and labor attribute assignments within back office systems. This individual continuously looks for opportunities to improve systems and processes to enable a high level of store execution.


    The Retail Operations Systems Administrator role is an exciting opportunity for a hands-on individual to positively impact customer experience and engage our store teams by:

    Program Management

    • Work cross functionally to coordinate an accurate set up of all new menu items, ingredients, and vendors within eRestaurant back office system and Aloha POS system
    • Work within eRestaurant system to maintain proper set up for coffeebar execution of all forecasting, inventory and labor management activities
    • Manage item setup in retail systems collaboratively with Marketing and IT
    • Partner with Finance to ensure timely and accurate reporting for retail systems
    • Serve as eRestaurant and Aloha system expert to address coffeebar questions and feedback that both provide training for system functionality and serve as a guide for future system enhancements
    • Validate and maintain proper menu recipes and labor matrices within eRestaurant to ensure proper ideal cost measurements to address coffeebar profitability opportunities
    • Conduct ongoing reviews of system capabilities to develop and implement plans to simplify process and improve coffeebar profitability
    • Analyze coffeebar-level data and partner with Finance to identify retail trends and determine solutions to resolve store-specific inventory, scheduling and profitability opportunities
    • Partner with coffeebar communications and coffeebar training team to ensure that all system changes are effectively communicated and trained for flawless coffeebar execution
    • Serve as Operations lead to guide proper system set up with cross-functional partners and provide business sign off
    • Develop strong partnerships with Accounting, Finance, Supply Chain, IT and Marketing to employ strategies that improve item set up for both accuracy and speed of implementation
    • Work closely with Retail Planning and Logistics Manager to ensure highly efficient system set up of vendors and items to enable coffeebar execution for ordering and receiving of all products, including seasonal and one-time product pushes
    • Act as key advocate for the field


    • Passion for coffee and customer service is mandatory
    • Strong customer focus, understanding core responsibility is to support stores
    • 2-3 years retail management, back office system administration or related experience preferred
    • 1-2 years project management experience in the areas of daily operations and IT
    • Strong organizational skills
    • Passions for problem solving and ability to navigate ambiguous situations
    • Ability to evaluate financial and business indicators and translate data into actionable information to drive results
    • Able to use rigorous logic and methods to solve problems with effective solutions
    • Analytical, able to transform qualitative and quantitative data into executable strategies
    • Can present ideas and directions that lead others to action
    • Flexible and adaptable to change 
    • Proficient in MS Office: Excel, Word, Outlook, Power Point
    • Time management skills, strong ability to multi-task, follow up and manage competing priorities independently
    • Demonstrated ability to think strategically and determine impact of decisions on the business
    • Ability to interact with and influence all levels of management and cross-functional teams
    • Ability to establish and work with cross-functional teams
    • Ability to work effectively within a team environment and independently
    • Ability to work flexible schedule during weekdays and weekends as dictated by business needs
    • Four-year college degree in business or related field preferred
